How the CMMS works in Wertek AI
How it works (concept)
Wertek AI's CMMS manages maintenance on the same asset digital identity that diagnostics and energy use: every work order, preventive task, or inspection stays in the equipment's history, alongside its measurements and alerts. That's what sets it apart from a standalone CMMS — a vibration finding or an energy alert becomes a work order without switching systems.
The pieces, with the names you'll see in the platform's Maintenance menu: Dashboard (overview), Work Orders (corrective, preventive, and predictive, with states, priorities, and evidence), Kanban and Calendar (two views of the same orders), Preventive (recurring schedules that generate orders automatically), Routes (point-by-point inspections), Inventory (spare parts and stock), and Team (members and skills matrix). The mobile app covers the full field flow. What the solution solves and its differentiators: CMMS and field service. This guide teaches you how to use it.
First 15 minutes
Create your first work order (manual):
- On the web, go to Maintenance → Work Orders and press + New Work Order.
- Capture a title and description, select the asset, the priority, and the due date.
- Assign a team assignee and save.
Create an order from an alert: open the alert under Alerts (or the event detail) and use Create Work Order from alert / Create Work Order — the order is born already linked to the asset and to the alert's evidence.
Where the technician sees it: on the web (Work Orders, filtered by assignee) and in the mobile app, where they can start it, log time and notes, attach photos, and complete it from the site. If the technician doesn't appear in the assignment list, they must first accept their invitation to the organization (see common issues).
Step-by-step flow
Corrective order end to end: create → assign → the technician opens it in the app, logs time and notes, attaches photos as evidence, and records the Parts Used (with Add Part from inventory) → complete → the order stays in the asset's history with its full log and, if you captured the cost, feeds the total cost per equipment.
Set up a preventive task: in Maintenance → Preventive, create a recurring schedule ("Schedule a recurring preventive maintenance"): define the work, the asset, the assignee, and the frequency in days. From there the system generates the orders automatically according to the frequency — with no manual intervention. Overdue items stand out immediately on the dashboard and calendar.
Kanban and Calendar: the Kanban shows orders by state (open, in progress, completed) — useful for the daily stand-up; the Calendar shows them by date and lets you reschedule by dragging the order to another day.
Execute an inspection route from the app: routes are created on the web (Maintenance → Routes) with points sequenced by asset, and even conditional logic (skip points based on what's found). In the mobile app, the technician goes to Maintenance → Routes, picks the route, and executes it point by point with its checklist; each execution stays in the route's history.
Set up spare parts and inventory: in Maintenance → Inventory, register each spare part with its stock level and minimum. When stock falls below the minimum, from Purchase Orders you generate the purchase order for the below-minimum parts in one click (Create Purchase Order) to the configured supplier. Consumption is deducted when you record parts used on the orders.
Common issues and fixes
- "I can't create work orders" — check your plan limits: on the Free plan orders are read-only; creating orders requires the Technical plan or higher.
- "A team member doesn't appear to assign orders to" — the member must accept the invitation first. Check the status in Maintenance → Team and resend the invitation if it's still pending.
- "The preventive task didn't generate the order on the expected date" — verify the recurring schedule is active and that the frequency (days) is what you expect; the first order is generated from the configured start date, not retroactively. If everything looks right and the order is still missing, report it to [email protected] with the preventive task's name.
- "The technician doesn't see the order in the app" — confirm the order is assigned to their user and that they signed in with the same account invited to the organization; then refresh the list.
- "Out of stock on a spare part mid-job" — configure the minimum stock for critical spares; below-minimum parts appear under Purchase Orders to generate the purchase in one click before reaching zero.
What's next
- Field service (FSM): if you maintain third-party assets, add on-site check-in/check-out with GPS and photo, visit reports with verified findings, and satisfaction surveys — see CMMS and field service.
- From data to order: connect diagnostics (guide) and energy alerts (guide) so corrective maintenance is born from the equipment's own evidence.
- Minor work without friction: use the app's quick log for jobs that don't warrant a formal order, and service reports to hand over to the client.
